COSI (EMEA)

COSI (EMEA) is an independent, non-profit user group created by the customers of SirsiDynix International, who have purchased or are in the process of purchasing hardware and / or software from the company.  COSI’s aim is to facilitate discussion and sharing of experience between those customers, to maintain a constructive and collaborative relationship with SirsiDynix to represent the interests of EMEA customers and to work with SirsiDynix for the improvement of the systems concerned for the benefit of EMEA customers.  COSI also maintains relationships with the other user groups, COSUGI in America and COSA in Australasia. 

Within COSI are a number of smaller more specialised groups which focus on different aspects of the systems. These groups come into being and cease at various times, depending on interest and need.

Information Collected

COSI collects information on its members, including their name, institution, work address, contact information and information specifically related to their institution’s relationship with SirsiDynix.  Information is also collected when members book for events such as the annual Conference.  COSI is the sole owner of this information.  To verify that a prospective member is associated with an institution which is a customer of SirsiDynix, we will check their institution name and customer number with SirsiDynix.

COSI also runs a separate Jiscmail list, to which members sign up separately.  This is used by all those subscribed to it to seek and share information, and to send out notifications about matters related to COSI business.  You can leave at any time.  If you want to stop subscribing to this, please see the Jiscmail information as to how to unsubscribe https://www.jiscmail.ac.uk/help/subscribers/groupsubscriptions.html

The Chairs of the various sub-groups hold contact details for those members who have joined those groups.  This is used purely for the business of that group.  Contact the relevant Chair to unsubscribe from any group you wish to leave.

Uses of the Information

The society uses the information stored to provide members with the information and services that constitute membership of COSI, including to contact members about events, and to arrange hotel rooms, arrange meals and to invoice attendees for the conference. 

We store the information that we collect in a database managed by SirsiDynix.  Click here to read SirsiDynix’s Privacy Policy https://www.sirsidynix.com/privacy  COSI takes every precaution to protect our members’ information.  

The directory on the website is available to all members through a sign in process.  Members can choose not to have their details displayed in the online Directory.     

We use an external company to arrange for conference rooms and hotels. They do not retain, share, store or use any personally identifiable information for any secondary purposes.  

We do not share members’ information with any other third parties. 

Correction and Removal of Information

Members have the right to ask us to provide details of the information we hold on them.  Anyone so wishing should send their request by email to cosiemea.enquiries@gmail.com

If a member’s personally identifiable information changes (such as postal or email address) they may update their account directly by logging on to the COSI website, going to their account details and clicking the Edit tab.  Or contact cosiemea.enquiries@gmail.com, as above. 

Similarly, members who no longer wish to remain in membership, perhaps due to a change in responsibilities or no longer being a customer of SirsiDynix may resign by

  • Logging on to the COSI website, going to their account details, clicking the Edit tab and clicking the Cancel Account button at the bottom
  • Contacting cosiemea.enquiries@gmail.com

The information held on them will be removed as quickly as possible. 

The membership database will also be checked periodically to remove details of members associated with institutions which are no longer customers of SirsiDynix.  Information collected as part of the conference booking process will be deleted after the conference (exact timescale currently under discussion).

COSI’s website may contains links to other sites.  Please be aware that we, COSI, are not responsible for the privacy practices of such sites.  We encourage our users to be aware when they leave our site and to read the privacy statements of each and every website that collects personally identifiable information.  This privacy statement applies solely to information collected by COSI.

Chat Rooms, Message Boards, and Public Forums

Please bear in mind that whenever you voluntarily disclose personal information online - for example on forums or through email - that information can be collected and used by others.  By posting personal information online that is publicly accessible, you may open yourself to receiving unsolicited messages from others.

Changes to this Policy

If we decide to change our privacy policy, we will post those changes to this privacy statement, the homepage, and other places we deem appropriate so our members are always aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it.  If, however, we are going to use users’ personally identifiable information in a manner different from that stated at the time of collection we will notify users, giving them the option to object to their own information to be used in that manner.
